Freight Billing

Every carrier bill audited line by line against your own contracts and tariffs before you pay: what to approve, what to hold back, the written notice, the report your accounts payable pays from.

What we audit

Electronic freight bills only, read and audited by ZetaVolt’s own software:

  • EDI freight invoices. X12 210 (truck), 110 (air), 310 (ocean) and 410 (rail), from your carriers or your EDI provider — uploaded, sent to your own ZetaVolt address, or picked up from your EDI mailbox (SFTP or AS2).
  • Carrier billing data files. CSV or Excel files of invoices exported from a carrier’s billing portal, your TMS or your accounts payable system.
  • Bills sent by your own systems. JSON sent by your TMS or ERP to your own ZetaVolt address, as bills are made.
  • PDF invoices made by a carrier’s billing system. Electronic PDFs with the words in them (the kind a carrier emails), one bill per file.

Not audited: paper bills, scans, photos and faxes — ZetaVolt does not key bills in by hand.

You pay only for the bills ZetaVolt reads and audits: a file or bill it cannot read is refused and never charged.

Each bill is checked line by line against the contracts, tariffs and fuel tables you bring in: the rate, the discount, the minimum, the fuel surcharge, every accessorial, the freight class and duplicates. You get what to approve, what to hold back and why, the written notice for the carrier, and the report your accounts payable pays from.

ZetaVolt audits the bill and tells you what to pay. You pay the carrier; ZetaVolt never holds or moves your money.

Audit your own electronic bills before you pay them: sign up your business for the pre-audit, pay as you go — 55¢ per bill audited, 50¢ from 10,000 bills a month, 45¢ from 100,000 bills a month.

The sample audit — nine bills, every mistake found

Sample Shipper Inc.’s agreement with a carrier and nine of its bills from the last month, audited exactly as yours are: approved, held back, billed twice, contested, paid, recovered, and one from a carrier with no contract on file. Contracts and tariffs

Every bill is checked against the contract in force on its ship date: the discount, the minimum charge, the fuel table at that week’s diesel price, the accessorial schedule, FAK. Rate tables live under Supply Chain → Freight and can be named on a contract. You bring your own tariffs and classes; nothing licensed is shipped here.

Where bills come from

Connecting a billing system, a carrier portal or an EDI mailbox comes with Freight Billing. Here is everything it connects to.

Connect now

  • Any file — Drop the carrier’s invoice file here: EDI 210/110/310/410, CSV, Excel, JSON, or a PDF bill.
  • Your own endpoint — Any system POSTs bills to /api/freight-bill with your key (JSON or an EDI interchange); EDI gets a 997 back.
  • Your EDI mailbox (SFTP or AS2) — Point the mailbox you already receive 210s in at ZetaVolt under Supply Chain → EDI: every file picked up is audited.

A few steps

  • Kleinschmidt — Ask Kleinschmidt to route your carriers’ 210s to your SFTP mailbox, or to POST them to your endpoint.
  • SPS Commerce — Add ZetaVolt’s endpoint or your mailbox as a trading-partner destination for the 210.
  • TrueCommerce — Route the 210 document to your mailbox or endpoint.
  • Oracle Transportation Management — An integration user with the REST API (OAuth client credentials): export freight invoices as CSV or JSON to your endpoint on a schedule.
  • SAP Transportation Management — Freight Settlement Documents exported by API or file to your endpoint or mailbox.
  • MercuryGate — Settlement export (API or scheduled file) to your endpoint or mailbox.
  • Manhattan Active TM — The audit/payment module’s invoice export to your endpoint or mailbox.
  • Blue Yonder TMS — Freight audit export (file) to your mailbox.
  • Descartes (3G, Aljex) — Scheduled invoice export to your mailbox or endpoint.
  • e2open TMS — Scheduled invoice export to your mailbox or endpoint.
  • Kuebix — Export invoices as CSV and drop them here, or schedule the export to your endpoint.
  • UPS Billing Center — Download the invoice CSV from the Billing Center and drop it here (every surcharge is a column).
  • FedEx Billing Online — Download the invoice CSV and drop it here.
  • LTL carrier portals (ODFL, XPO, Estes, Saia, R+L, ABF) — Download invoices (CSV or PDF) from the carrier’s portal and drop them here, or ask the carrier for 210s to your mailbox.

The audit report

A PDF for the people who pay — every bill, what to pay, what to hold and why, the contest deadlines — with a spreadsheet of every line and a remittance file (what to pay each carrier) beside it, kept in Volt.

The report from your own bills. Auditing your own bills comes with Freight Billing, pay as you go — 55¢ per electronic bill audited, 50¢ from 10,000 bills a month, 45¢ from 100,000 ($10 a month at least). Until then, try it on the sample bills.

What a pre-audit usually finds

Industry estimates, not a guarantee. Your results depend on your carriers, contracts and bills.

On your $3,412 billed in the last 30 days, the published 2%–4% would be about $68–$136 — an estimate, not a promise. Your own audit held back $595.00 on 9 bills — that one is real.

ZetaVolt will publish its own clients’ results here once there are case studies.

How it is paid

Pay as you go: 55¢ per bill audited, 50¢ from 10,000 bills a month, 45¢ from 100,000 bills a month. You pay only for the bills audited each month, charged to your card as it adds up (at least $10.00 a month, counted toward your bills). For example: 1,000 bills $550 · 10,000 bills $5,000 · 100,000 bills $45,000.

Post-audit: ZetaVolt’s share is 45% of what carriers refund or credit to you — the rate in your signed agreement — due only when money comes back; nothing recovered, nothing owed. A share under $1,000 is charged to your card on file when you have one with ZetaVolt; otherwise, and always from $1,000, it comes as an invoice from Paddle, our reseller, due in 15 days and paid by bank transfer (wire or ACH) or card.

Every price on Plans and usage

9 kinds of finding. Every finding is ZetaVolt’s own reading of a bill against the contract on file — software, not legal advice; you decide what to pay and send your own notices.
